Privacy Notice for Future Steps Application

This Privacy Notice applies to a Prince’s Trust owned application - The Future Steps Application “Future Steps App”, developed by our partners Funraisin & Made with Ed, and explains how it uses your personal and other data. 

The Prince’s Trust processes personal data in other ways outside of this application and you can find more details about other uses of personal data on our main Privacy Notice.

Please read this Notice and the Terms and Conditions for the Future Steps Challenge to understand what we do with information you provide to us for Future Steps. The FAQs section also provides information on how we communicate with you.

1. Lawful basis for processing personal data supplied on the Future Steps Application

Under the UK General Data Protection Regulation (UK GDPR), we have to rely on a lawful basis to process personal data. The lawful basis for processing your personal data on this app is Your consent. You can withdraw your consent at any time by deleting the application and emailing Futuresteps@princes-trust.org.uk to delete your data.

If you want to retrieve your Future Steps App data (i.e. your or your team’s steps) please send an email to Futuresteps@princes-trust.org.uk

We may also rely on Legitimate Interest as a legal basis to process data provided on the Future Step App, where we do this we will never override your rights.

2. Data we process when you use this application:

The Prince’s Trust obtains information directly from you when you download this application and provide your details to log into and use the application.If you enable tracking data on your device; or if you consent for us to receive information about you from independent third-party applications linked to the Future Steps App, we may also process this information via the Future Steps App.

The data we obtain via the application includes:

  • Personal data provided during registration: 
    • Name, phone number, email address, postal address, company name – this will be required to use the application.
    • Health and fitness: Fitness info- this is optional but if you provide it will be stored on the application.
    • Profile details: including your username and password, and participation details.
  • App info and performance:
    • Technical information on devices, time zones, App versions, browser type, location and IP address;
    • Crash Logs, Diagnostics, Device, and other IDs.
  • Information from independent third parties linked to the application e.g. Funraisin, our partner fundraising platform.We only received this information where you have consented.
  • Usage information – when and how you use our Apps and linked Platforms;
  • Device location – we do not track your device location while you are not using the app but in order to provide core services of the application, it is necessary for us to track your device location while in use. This includes while the app is open, minimised in the background and open while the device is locked. If you would like to stop the device location tracking, you may do so at any time by adjusting your device settings;
  • Start and finish latitude and longitude, total distance and time of any activity recorded directly through the app;
  • Marketing preferences; where applicable.

3. What happens to data provided on the Future Steps Application

When registering for the Future Steps challenge, a profile and fundraising page will automatically be created for you, using the information you provide. By logging into the app, we use the data provided to administer the Future Steps challenge and keep a record of your interaction with the event. The Future Steps App provides you with a platform to track your steps, see the progress of your team and other teams taking part in the Future Steps Challenge. The name that you have registered with will be used to display your position on the stepping and fundraising leaderboards. 

You can sync the Future Steps App with FitBit, Garmin or Map my Fitness via an application programming interface (API).

We may use tracking tools to improve the effectiveness of our communications with you, including tracking whether you open emails we send you and which links you click within a message.

Information about the App’s performance is received by the App developers who update the App on our behalf.

Where you have linked to other third-party applications, platforms and webpages, e.g. FitBit, Garmin or Map my Fitness, we advise that you read the linked Privacy Notices provided by them.

We use your information to contact you throughout the Challenge to provide you with information relevant to the event and your fundraising. We will also send push notifications via the app throughout the challenge.

4. How we secure data provided on Future Steps Application

We aim to ensure that there are appropriate, physical, technical, and managerial controls in place to protect any personal information you may provide to us. Your data is transferred over a secure connection and is encrypted.

Your personal data will be held for as long as you hold an active Future Steps account. This may be held by us for up to 10 years after your last attended event, in accordance with our Data Retention Policy, unless you request for your data to be deleted before that time.

If you request that we stop sending you marketing materials we will keep a record of your contact details and appropriate information to enable us to comply with your request not to be contacted by us, we will not keep any information that we do not need.

5. Your rights

If you wish to exercise your rights, please address your request, by email to Futuresteps@princes-trust.org.uk. Under the GDPR, you have the following rights in relation to your personal data:

  • Right to be informed (about what data we process, how we process it, why we process it and other key information)
  • Right to request a copy of the information we hold about you
  • Right to edit and update your information
  • Right to request to have your information deleted
  • Right to restrict processing of your information 
  • Right to object to processing of your information - including automated decision making and profiling
